Scan Through Spring With LightSpeed!

If you’ve been toying with the idea of increasing the number of users licenses for your LightSpeed system, now would be an excellent time to do so. Perhaps you’ve considered moving your main system to the back and getting a new computer for the front… or maybe it’s just time to expand. Either way, if you purchase that extra license now, Xsilva is willing to cut the cost on a barcode scanner for that new terminal by $190! By subsidizing the cost of the new scanner, it brings it down to only $79!

The Honeywell 1200g is the scanner and unlike it’s predecessor, it seems a fair bit more capable. It’s a ‘button-on-top’ type of scanner and not the ‘pull-the-trigger’ style that I usually sell. This may take some getting used to for some but for those who leave their scanner in the cradle most of the time, it really won’t make a difference.

Either way, it’s hard to beat at $79.

Upgrading the number of user licenses is a simple task and doesn’t cost as much as the initial LightSpeed software. For example, most systems can enjoy the freedom of an extra license for about $550 with an additional $200 added to their annual subscription.

Unlike previous events, there doesn’t seem to be deadline or cut-off date for this promotion but I wouldn’t wait as this may simply have more to do with available quantities as per a budget set with the supplier. I can’t say for sure but I wouldn’t wait if you don’t want to miss it.

LightSpeed for iPad 1.1

I’m a little late on this one but I wanted to test this out first before releasing it to the world. LightSpeed for iPad is cool but may not have been all that relevant to most people… until now.

Whether you sell shoes, furniture, or art (or tomatoes as the commercial would have us believe), LightSpeed for iPad looks like a cool way to engage your customers without having a sales counter come between you. The idea is that your sales people can go out and mingle with customers throughout your store… selling as they go. For most of my clients, this is ridiculous. Some shops barely have enough room to walk around in… or set up the existing computer system… let alone walk around and engage customers on the floor. It may be that LightSpeed for iPad is just ahead of it’s time but most of my clients have looked at it with little interest as a neat toy for ‘other stores’ but not theirs.

Additionally, LightSpeed for iPad, like LightSpeed Mobile for iPhone and iPod Touch, works best when you can complete the sale with integrated credit card processing… something we don’t yet have here in Canada.

All that changes with version 1.1 as a special new feature makes it much more practical and usable in a small store. In the release notes below, you’ll see one small, but important, new feature…

“Credit card payments can now be recorded when not using an integrated credit card processor”

This wonderful new feature allows us to use LightSpeed for iPad without integrated credit card processing! With the addition of a special receipt printer, cash drawer and barcode scanner (and likely some sort of desktop stand), we can now use an iPad as a front counter touch-screen checkout system!

This is very exciting and I’ll be posting more on this soon as I put together a package for all to see and purchase. Imagine getting rid of the huge iMac on your front counter and replacing it with an iPad! Very cool!

Here are the official release notes. The ability to process returns also adds to the iPad’s usefulness at the front counter.

End of Life Notice for Legacy LightSpeed Products

Recently, as a LightSpeed (the software) owner, you may have received an email regarding ‘End of Life Notice’ from LightSpeed (the company). It’s a rather wordy email that takes a while to get to it’s point and, as a result, I’ve received a couple of emails about it.

DEAR LIGHTSPEED CUSTOMER,
LightSpeed will be phasing out support for legacy versions of LightSpeed and Web Store in 2012. These legacy versions provided a strong foundation for LightSpeed’s growth over the past 7 years, but constantly-changing technology means that older versions of our software become increasingly difficult to support and must be marked as ‘end of life’.

In short, if you run an old version of LightSpeed (the software) or Web Store, the people at LightSpeed (the company) are going to stop answering your technical support questions unless you upgrade.

They consider anything before LightSpeed 3.0 as ‘old’. LightSpeed 2.9.2 was the last version before 3.0 came out so if you’re still running that, contact my office immediately to talk about plans to update your system.

Additionally, the first edition of Web Store will suffer the same fate. Versions 1.0 to 1.3 use a completely different system and will need to be completely rewritten in order to upgrade to the new version 2.1.x. If you’re still running an old version of Web Store, contact my office immediately to discuss plans to migrate your website.

How do I check my version of LightSpeed?

When you open LightSpeed, you should be able to see the version number in the corner of the login window.

This screen shot shows an old 2.x login window with the version number in the corner. Notice the LightSpeed logo at the top has the number ’2′ next to it? As of LightSpeed 3.0, they stopped putting the version number in the logo.

How do I check my version of Web Store?

When viewing your own website in Safari, choose the ‘View Source’ option under the ‘View’ menu at the top of the screen. You should see the following code about ten lines down…

If it says anything less than 2.1.7, you should consider upgrading but if it says anything less than 2.0 then you should be very concerned.

How do I upgrade?

Both upgrades require an advanced level of knowledge regarding LightSpeed, Web Store, and the Mac OS so I don’t recommend attempting this yourself.

The new versions of LightSpeed won’t run on some older Macs and older operating systems so you may end up purchasing more than just the LightSpeed software. Additionally, getting your old data into a new system can be tricky and you risk losing your data if this is not done in the proper steps.

Web Store has to be completely redone from scratch if you want to move from 1.0/1.3 to the latest version. We’re very good at this so call us to set something up.

If you’re thinking that all of this could really add up to be a big expense, you’re right, but financing can be accomplished when there is a balance of hardware and software. If you find yourself having to upgrade your hardware at the same time, some of the software can be included in a monthly lease to ease the pain. Again, contact my office for more info on that.

Finally, if you run both an old version of LightSpeed and an old version of Web Store, know that the two must be upgraded together. The new Web Store requires a recent version of LightSpeed or it simply won’t work. Likewise, a new version of LightSpeed won’t be able to communicate with an old Web Store.

What/Who is LightSpeed?

‘LightSpeed’ is a point of sale and inventory management system made exclusively for the Mac. It’s made by a company called ‘LightSpeed’ out of Montreal, Quebec, Canada.

You see, the folks that made LightSpeed originally called their company ‘Xsilva Systems, Inc.’ (‘Xsilva’ for short) but recently felt that this was too complicated so they decided to rename their company to be the same name as their flagship product.

So, now there are two ‘LightSpeeds’… the product and the company that makes it. They’re both called LightSpeed. This was done to make things easier to understand. Did it work? You tell me.

LightSpeed 3.6.7: Cash Drawer Issue Fixed!

For anyone that was holding off on the recent LightSpeed version 3.6.6, you may safely upgrade but skip it and go straight to 3.6.7. It would seem that the issue which previously had caused USB cash drawers to not open has been fixed.

    • Billing and shipping address information is now available when retrieving invoices
  • Hardware
    • Reversed a change introduced in LightSpeed 3.6.6 that could prevent some APG cash drawers from opening correctly

LightSpeed 3.6.6

LightSpeed 3.6.6 was released on March 6th. No email broadcast was sent to current upgrade subscribers so unless you were looking for it, you probably wouldn’t know about it. I didn’t. Even subscribing to their RSS feed doesn’t seem to get the message out fast enough. I really wish that they’d send out an email.

This one is a big one and as I reported here earlier, there is a significant snag for some.

The Good

Fixes. Lots of fixes. The release notes is a repetition of the same phrases over and over again: ‘Resolved a potential crash…’, ‘Addressed a crash that could occur…’, ‘… no longer causes a crash.’, etc…

The Bad

Unfortunately, they slipped in what seemed to be a minor change to the cash drawer functionality that has the potential of preventing a cash drawer to open entirely. While attempting to troubleshoot an issue with USB cash drawers not opening, Xsilva was advised by APG, the people who make the cash drawers, to update the codes that they use to trigger the opening of their cash drawers. This was intended to maintain compatibility with the latest iMacs and cash drawers and was supposed to be a good thing. However, if you own a cash drawer that had previously encountered an issue in which the USB drawer could not be found unless you unplugged and replugged the USB cable, your drawer will now fail to open at all. Luckily, the fix is an easy one. APG is offering to send out replacement USB controllers for their existing cash drawer owners that not only makes the old issue go away but is also compatible with LightSpeed 3.6.6.

Because of this, you may want to hold off on upgrading to 3.6.6 until you’ve had a chance to upgrade your cash drawer. On the other hand, you could just use the keys that came with the drawer as a temporary measure until your new USB connector board arrives.

  • LightSpeed Server
    • Addressed a potential crash on Mac OS X 10.7
    • Fixed a potential issue that could distort the company logo on receipts printed from LightSpeed Mobile and LightSpeed for iPad
    • E-mail receipts no longer display line item values to three decimal places
    • Receipts printed from LightSpeed Mobile and LightSpeed for iPad now display the user and station name
  • Multi-Store
    • Addressed a potential issue with replication when replicating product costs of zero dollars
  • Order
    • Addressed an issue where all reserved line items are released instead of those selected to be invoiced
    • Corrected a potential issue that could cause all reserved line items to be released even though a generated invoice is not saved
    • Users are no longer able to bypass the “Sell Below Minimum Margin” privilege by closing the window
  • POS Screen
    • Resolved a potential issue that could cause invoices created on the POS screen to not be logged correctly
    • Addressed a potential loop that could prevent users from completing an invoice after clicking ‘Go Back’ due to restricted privileges
    • Fixed a rare issue that could cause the POS screen to crash due to a modified product image
    • Resolved a rare issue that could cause the POS screen to display stale inventory information
    • Using keyboard shortcuts for payments now properly checks to see if the station is a member of a till, if enabled

LightSpeed 3.6.6 ‘breaks’ cash drawer compatibility!

Xsilva released version 3.6.6 of LightSpeed on March 6th but you might not want to download it just yet as certain models of APG cash drawers fail to open after the update is applied. The change in the code was in response to APG’s recent adoption of ‘universal’ standards however it essentially rendered older cash drawers useless.

The good news is that if you had contacted APG regarding the error mentioned previously here, and they are sending you a replacement USB connector, that connector should solve this problem as well.

The result is that LightSpeed users that previously had cash drawers that would sometimes not open unless the USB cable was unplugged and replugged… now will have a cash drawer that won’t open at all!

APG Cash Drawer Issue Solved!

APG made an official press release today that should be good news to any LightSpeed users out there that have received the dreaded ‘USB Cash Drawer Not Found’ error.

It is important to note that they are announcing this as a ‘product upgrade’ and not a bug fix. Technically, it was Apple’s adoption of the new USB standard that caused the problem in the first place. APG is simply upgrading their hardware to keep up with newer standards.

What is not clear in their announcement is what will be done if you have an older cash drawer but need the new interface. I’ve already recommended to a couple of clients that they contact APG support directly to have the issue resolved.

Update: I’ve contacted APG on this issue and they’ve indicated that they will send you a replacement USB controller card that will rectify the issue. Simply contact support at APG and they’ll ship one out to you.

Web Store 2.1.6

Web Store 2.1.6 was quietly released on Feb 15th. Not much to write about here.

Unfortunately, the upgrade notes are not clear and have not been updated to include instructions for those who may be upgrading between versions of 2.1.x… instead it only talks about upgrading to 2.1 from a previous version. As a result, it’s not clear which files need to be uploaded. Most importantly, it’s critical to know if files within the template directory have been modified as these must be updated line by line if your web store has been customized.

Check out the official list of resolved issues and if one of them effects you, consider having the update performed.

    • Corrected an issue where a state/province could be displayed multiple times after defining shipping destinations by zip code
    • Improve state/province sort ordering

    • Resolved a rare issue where a PayPal check payment failure may be incorrectly applied as successful

UPDATE: Unable to open USB Cash Drawer

I went out to one of my client’s today who had complained of this issue. I had sold them two cash drawers before xmas and they’ve ended up using them with the keys in the locks since then in order to work around the issue.

So, I went out to replace the boards with two of the ones that APG sent me… when I get there, they tell me that the problem has gone away on it’s own! Crap. So, I was unable to reproduce the issue. Still, I figured that it wouldn’t hurt to swap the boards so I swapped the first one but it didn’t work at all.

The cash drawer worked with the old board but not with the new one. I brought two of the boards with me so I tried the other one… same thing. The green LED flashes to indicate power to the board but sending the opening code from LightSpeed fails to open the drawer.

In the end, I ended up putting the original board back in and leaving them alone.

After speaking with the head of development at Xsilva, I’m now aware that Xsilva is testing this and working directly with APG on this issue.

I will be waiting to receive an update from APG when testing is done and I’ll post my findings here for all to see.
